Module 4: Student Archives

+

Separate historical record storage, virtual archive envelopes, and configurable automatic archiving.

+
+ +
+
+ + Archives Highlights +
+
    +
  • Isolated Historical Storage: Archived records are segregated from active rosters to prevent accidental modification while keeping records readily retrievable.
  • +
  • Archived Virtual Folders: Inspect stored documents and past submissions inside an archived student's dedicated folder.
  • +
  • Document Archiving & Restoration: Move individual files to the archive or restore them back to active student checklists when permitted.
  • +
  • Automatic Archiving: The system automatically evaluates learners without active enrollment after a configured grace period. Configure this in Automatic Archiving Settings.
  • +
+
+ +

+ The Student Archives module safeguards historical learner folders, transcripts, and certificates for graduated, transferred, or inactive students. Archived records remain searchable by LRN or name, allowing the school registrar to issue credentials years after a student has departed. +

Archive Records Management

+

+ TIS-RMS strictly separates archived records from current academic cohorts: +

+
    +
  • Separation of Records: Displays archived student records and documents independently from active records, ensuring that historical searches never clutter active classroom management.
  • +
  • Student Archives Folder View: Administrators can open any archived student's folder to view, preview, or download their stored documents.
  • +
  • Document Archiving & Restoration: Active documents can be relocated to the archive repository, and previously archived documents can be restored back to active student checklists whenever permitted.

Automatic Archiving Engine

+

+ To minimize administrative overhead at the end of each school term, TIS-RMS features an automated background archiving engine: +

+
    +
  • Grace Period Evaluation: The system automatically identifies students who no longer possess an active enrollment in the current academic year after the expiration of a configurable grace period.
  • +
  • Configurable Rules: Administrators can fine-tune the grace period and automatic schedule in the Automatic Archiving Settings panel.

Module 5: Batch Print Records

+

Multi-document queue management, format conversion, and automated email pickup notifications.

+
+ +
+
+ + Batch Print Highlights +
+
    +
  • Print List Queue: Review queued documents, remove items individually, or clear the entire queue before sending jobs to the printer.
  • +
  • Student Pickup Notification: Automatically notify learners or parents by email with pickup date, designated office counter, and special instructions.
  • +
  • Print History Audit: Maintain a searchable historical record of all completed print batches.
  • +
  • Batch Printing with Format Conversion: Print multiple files across students in one pass; Excel files automatically convert to PDF with user confirmation.
  • +
+
+ +

+ The Batch Print module streamlines document fulfillment for transcript requests, graduation packages, and DepEd compliance portfolios. Staff can queue records directly from the document explorer or preview modal. +

+ +

Admin & Teacher Side: Managing the Print Queue

+

+ Both Administrators and Teachers can utilize the print list modal to manage print jobs: +

+
    +
  • Review & Edit Queue: Opens a modal displaying all documents currently staged for printing. Staff can inspect file thumbnails, delete individual entries, or clear the entire queue.
  • +
  • Direct Queue Ingestion: Documents can be added to the print queue instantly from document previews, folder views, or table action menus.

Frequently Asked Questions

+

Answers to common questions about using TIS-RMS.

+
+ +
+
+ +
+

Yes, absolutely. TIS-RMS is engineered offline-first. It operates over your school's local area network (LAN/Wi-Fi). All records, scanned documents, and student folders are stored on your local school server without requiring an active internet connection.

+
+
+ +
+ +
+

Yes. TIS-RMS supports secure encrypted tunnel connections that allow authorized staff to securely access the system over the internet from outside the school campus when configured by the system administrator.

+
+
+ +
+ +
+

No. OCR (Optical Character Recognition) is strictly designed to extract printed text (such as Learner Reference Number, Full Name, Birth Date, and Sex) to autofill form fields and eliminate typing errors. To store the physical image or PDF in the student's virtual folder, use the document upload feature.

+
+
+ +
+ +
+

Yes. Teachers can register new students into their assigned advisory sections. Formal enrollment standing adjustments (such as graduating, transferring, or dropping students) remain restricted to Administrators to maintain official registrar standards.

+
+
+ +
+ +
+

When a document requirement is disabled in School Settings, it is cleanly removed from active student checklists so it no longer penalizes compliance rates. Importantly, any documents previously uploaded under that requirement remain safely preserved in the database and are never deleted.

+
+
+ +
+ +
+

In the Batch Print module, after printing certified documents, staff can enter a pickup date and office instructions in the pickup alert form. Clicking Send Notification transmits a formatted email to the student or guardian informing them that their physical documents are ready at the registrar's office.

+
+
+ +
+ +
+

Automatic Archiving evaluates students with no active enrollment after the configured grace period and moves their records to the historical archive repository. Automatic Graduation evaluates Grade 10 completers and Grade 12 graduating candidates based on the active school year calendar, and can be triggered automatically or run manually by an Administrator.

+
+
+ +
+ +
+

Click "Forgot Password?" on the sign-in screen. Enter your registered email address. The system will email you a secure One-Time PIN (OTP). Enter the OTP on screen to verify your identity and immediately set a new password.

+
+ + Activity History Highlights +
+
    +
  • Complete Activity Logs: Records all system operations (student creation, updates, document uploads, archiving, and deletion) with timestamps and actor details.
  • +
  • User Account History: Tracks the entire lifecycle of staff accounts, showing which administrator created, modified, activated, or deactivated an account.
  • +
  • Login & Session History: Monitors active user sessions with client platform, IP address, login timestamp, and session validity.
  • +
  • Granular Search & Date Range Filters: Filter logs by date range, action type, user name, and user role.
  • +
  • Role-Based Access: Sessions and account history are restricted to Administrators; Teachers can review activity records within their permitted scope.
  • +
+
+ +

+ Module 8 ensures strict data accountability and compliance with government data privacy standards. Every transaction in TIS-RMS creates an immutable log entry that administrators can inspect at any time. +

-
    -
  • 12-Digit LRN Tracking: Every student record is organized by their unique Learner Reference Number to prevent duplicate entries.
  • -
  • Autofill Form Fields with SF9 & SF10 Scanner (OCR): When adding a new student, scan an SF9 (Form 138) or SF10 (Form 137) to automatically fill in the basic form fields: Name, LRN, Birthday, and Sex. Please note: The scanner only populates these form text fields so you don't have to type them out; it does not automatically upload or save the scanned file into the student's document folder.
  • -
  • Missing Document Reminders: A clear status badge shows right away if a student still needs to submit any required documents.
  • -
-
- -

- The Student Information module holds essential learner details in one convenient place. You can search for students quickly by typing their LRN, last name, first name, grade level, or section. -

-
- -
-
- - Key Highlights -
-
    -
  • Organized Student Folders: Neatly organizes student documents by School Year, Grade Level, and Section—just like a tidy physical filing cabinet.
  • -
  • Dynamically Add, Edit, and Enable/Disable Documents: Document requirements are completely flexible. When adding a new student, you can use the OCR scanner on an SF9 (Form 138) or SF10 (Form 137). The scanner automatically reads the document and populates the text fields on the "Add Student" form (such as Name, LRN, Birthday, and Sex) so you don't have to type them out by hand. Please note: The OCR scanner only populates these form text fields for quick data entry; it does not automatically upload or save the scanned file into the student's document folder. To save the file itself, upload it in the Documents section.

No. The system is designed specifically for student identity records and document tracking. It does not scope, track, or calculate academic grades, subject lists, or teacher remarks. It only manages essential student identification details: Full Name, 12-Digit LRN, Sex, Birthday, and 4Ps Status (Yes or No).

-

The system checks the 12-digit Learner Reference Number to ensure it is unique. If someone tries to add an LRN that is already registered, the system displays a clear message to prevent accidental duplicate entries.

The badge serves as a helpful reminder that the student has not yet submitted one or more documents marked as required in the checklist. As soon as the required document is uploaded, the badge turns green automatically.

Yes! Document requirements are fully dynamic and flexible. School administrators can dynamically add new document types, edit existing document titles, and enable or disable specific requirements whenever school policies change. When enabled, requirements appear on student checklists; when disabled, they are cleanly hidden without deleting previously uploaded records.

On the Students or Archives screen, choose your section from the dropdown, click Select All in Section, and click Batch Print (Ctrl+P). The system prepares all the records into a single neat print package ready for your printer.

Administrators should save a backup regularly (for example, weekly or at the end of each grading period). Go to Settings, select Create Backup Copy, and save the backup file to a safe USB flash drive.
